South Georgia Cycling
Membership / Benefit / Reimbursement Policies

MISSION

South Georgia Cycling is a cycling club located in Albany, GA. The club is for those who enjoy and support bicycle competition. We encourage members to race their bicycles - whether that means road, mountain, track, cross, or triathlons.

Our goal as a club is to create an environment that carries over into the lifestyles of those who participate. Cycling is not just an act of exercise, but an exercise of expression.  Bicycles are not tools, they are a means.  We like the way the world looks from the seat of a bicycle. We're looking for others who feel the same.

Cycling isn't something we do . . . it's something we can't do without.

MEMBERSHIP

Members must pay a $25 membership fee per household per year which is due each January.  Membership is renewed yearly and is effective from January to December.

     Members will receive discounts from sponsors. .
*Sponsors are not exempt from membership dues

REIMBURSEMENT

To qualify for reimbursement, an SGC member must:  

     Pay $25 membership fee (per household)
     Participate as a racer, support, or volunteer in a minimum of 4 event minimum for reimbursement and a 7 event minimum for the complimentary kit. 
 (see reimbursement rules below)
     Must race in the current team uniform for the entire event. If you do 24 hour races or stage races, make sure you buy enough clothing at the beginning of the season to accommodate.
     Submit a reimbursement/participation form within 30 days of the event.  Please submit your form electronically via the SGC blog, http://southgeorgiacycling.blogspot.com/
     Participate in the minimum of 4 events before December 1st

The 4 event minimum will qualify a member for reimbursement.  Members will receive discounts on team apparel and accessories and will be eligible for race reimbursements.  Below is a description of qualifying events.

     Support of an event count as one event (1).
     XC events count as one event (1).
     6 and 12 hour events count as one event (1).
     Triathlons (sprint, Olympic, & ½ Ironman) will be counted as one event (1).
     Ironman count as two events (2).

KITS

To qualify for complimentary kit (jersey and shorts or bib), an SGC member must:

     Pay $25 membership fee (per household)
     Participate as a racer, support, or volunteer in a minimum of 7 event minimum for the complimentary kit. 
     Must race in the current team uniform for the entire event. If you do 24 hour races or stage races, make sure you buy enough clothing at the beginning of the season to accommodate.

     Participate in the minimum of 7 events before December 1st
     Extra items would need to be purchased. 
     Higher level sponsors ($1500+) receive a “base” kit.

If an individual is unable to fulfill the 4 event minimum for reimbursement and a 7 event minimum for the complimentary kit, he or she will not be eligible for reimbursement and complementary team kit, but will still be eligible for team discounts and to purchase apparel and accessories.

* Due to the high costs of some endurance races, there is an $80 max for entry fee submission. For example, if Racer “A” does a 24-hour mountain bike race that costs $200 per entrant, Racer “A” can only submit an entry fee of $80 but is encouraged to list and explain the additional costs of the event. The officers withhold the right to alter the reimbursement if deemed reasonable.

Our reimbursement plan expires if/when our funds run out. Reimbursements will not carry over and there is NO back-pay.

Funds would be dispersed in December at the end of the current season. Breakaway will be responsible for the 2011 disbursement.

RACING

You must start and finish the race. If you have special circumstances as to why you didn’t finish, please use the comment section of the reimbursement form to explain them in full when you make your request. DNF’s are an unfortunate but understandable part of racing. Signing up and NOT racing does not warrant reimbursement.

You must be scored in a category according the level, gender, and/or age. We do not reimburse for charity or fun events (Nut Roll, Six Gap, etc).
SUPPORT & VOLUNTEERING

Members will receive credit for attending an event as a member of the support crew or as a volunteer. Taking pictures, handing out water bottles, working a wrench, helping with children, and cheering on the team is considered support. Registration, wheel truck, TT starters, etc. is considered volunteering. You receive participation credit towards membership if you are at the event, with the team, and visible.

In order to receive credit, you must submit a participation form within 30 days of the event.  Please submit your form electronically via the SGC blog, southgeorgiacycling.blogspot.com.

SGC OFFICERS

Officers to be elected/appointed and will serve as the executive board. Terms will run for one year and conduct one meeting per quarter. Executive board may make decisions outside of scheduled meetings if needed.

ROLES OF OFFICERS

President: Call for meetings and oversee the agenda of meetings.
VP: President in waiting and will preside over meetings when president is absent.
Treasurer: Maintain the checkbook and present bank statements and balance sheets at group meetings.
Secretary: Record meetings and post race schedules/upcoming events.
At-large: Represent the club at the executive board meetings.

These five offices will serve as the board and can conduct club business by voting on issues outside of scheduled club meetings. A majority vote will be sufficient to pass motions.
